Upcoming Payment Processing Change Update

Dear Resident,


To keep you updated, the Locust Grove Board has decided to move our bill pay process to EasyHOA, who we are currently using to manage our HOA email, texting and other important functions. They can offer us a more robust and integrated platform that will give our residents full access to view and print their monthly statements and payment history, whereas we cannot offer that to our residents currently using Intuit/QuickBooks.


This new process will begin in February.


What does that mean for you?


If you are currently using online bill pay services through your bank directly, we are also asking if you would consider switching to a monthly recurring ACH through EasyHOA directly vs. having your bank mail a check to our PO Box as we have experienced some checks arriving late, or not at all. By setting up ACH through EasyHOA directly, this will ensure that your payment is pulled and processed quickly. If this is not possible, we understand.


We highly encourage everyone to use the ACH option as it streamlines our billing, monthly financials, and makes it more convenient for you as well - no checks to write and mail. If you have questions about doing this, or need assistance, please let us know - we are happy to help you get set up safely and securely. If needed, we would be happy to set you up for automatic payments which will be pulled on the same day each month.


If you are currently paying by personal check, we are also asking if you would consider switching to a monthly ACH withdrawal (set up directly through EasyHOA) vs. mailing in your check monthly. If this is not possible, we understand.


On the 24th of each month, you will receive your detailed monthly statement via text/email for the upcoming month. Statements can be easily accessed within your EasyHOA account.

If you are paying by personal check via mail, your statements will be mailed to you on the 24th of each month as well.


You can log into your EasyHOA account and make a payment via ACH, or credit card. Below is a breakdown of fees.

  • 3.24% on Visa, MasterCard and Discover Transactions
  • $0.50 per credit card payment attempt (Authorization Fee)
  • NO CHARGE per ACH/Echeck transaction if set up directly through EasyHOA (our recommendation)

Once the payment has been made, you will receive an email/text notifying you that your payment has been made.


PLEASE NOTE:

  • Paper checks mailed to our PO Box must reach us before the 10th of each month, so we have time to process all payments by the due date.
  • Any checks or payments received after the 10th of each month are considered late and subject to a $25 late fee.

If you haven’t already registered your EasyHOA owner login, please set up your account access at https://app.easyhoa.com/login.html:

  • Enter Username: YOUR EMAIL ADDRESS (this is the email address we have on file for you).
  • Enter your name and choose a password.
  • Login using your email and password.

📅 Locust Grove Open Meeting Notice: December 3, 6:00 pm

Dear Resident,


It’s hard to believe that Thanksgiving and Christmas are upon us, with the new year following close behind! As the year wraps up, we’ve been wrapping up some items in the background as we look ahead to 2026.


2025 proved to be a very busy year with our issues with Barnett, and our transition to self-management for Locust Grove; we are ready to share an overview of how this year went for the community. As we look ahead to 2026, our next open meeting is scheduled for Wednesday, December 3, 2025, beginning at 6:00 pm (Stow Police Department, Community Room). We strongly encourage you to attend as we provide important information about 2025 as well as our upcoming 2026 budget and how we will partner up as a community in the days ahead. This is a meeting you definitely won’t want to miss!


Fees will not be raised again this year.


With that said, the Board wants full transparency. There will be a small one-time assessment fee to recover funds for unplanned emergency repairs due to our water main break and additional costs related to extensive damage to several of the garage door headers in 2025. Details will be discussed at our December 3rd meeting.


Again, thank you for your continued patience and more importantly, your support this year as we made the challenging decision to move forward with self-management for Locust Grove. We are already seeing the benefits of this decision, and we hope you are too!
